How to Keep Computers in Sync with Cloud

With Cloud, you can collaborate across multiple computers by syncing them to the same Cloud workspace. This keeps presentations, media, playlists, themes, macros, props, timers, and messages up to date across every computer in your organization.

Before You Begin

Before collaborating in a Cloud workspace on multiple machines, make sure:

  • Your organization has an active ProPresenter subscription.
  • Each computer is running ProPresenter v22 or later.
  • All computers are signed into the same organization.
  • Each computer is on a Presenter or Cloud Editor seat. Local Editor seats don't sync Cloud workspaces.
  • Each computer has an active internet connection.
  • Each machine has enough local disk space to download and store the Cloud workspace.

Downloading a Cloud Workspace

To get started, we need to download a Cloud workspace on a machine. If you have not yet created a Cloud workspace, see our How to Create a Cloud Workspace article.

  1. Open the workspace manager

    • In the top right of the ProPresenter window, click Status in the toolbar to open the Status popover. The icon above it shows your organization's image, or the ProPresenter logo if no image has been uploaded. From there, select the name of the active workspace to see a list of all the available workspaces.

    OR

    • Open Settings → General and open the workspace manager.
  2. Find your Cloud workspace
    • Any Cloud workspaces available to your organization will appear in the list with a Cloud icon.
    • A Cloud icon with a downward arrow means the workspace is available but hasn't been downloaded to this computer yet.

  3. Download the workspace
    • Select the Cloud icon next to the workspace you want to download.
    • Click Download Workspace when prompted.
    • A progress bar will appear while the workspace downloads.
    • Once complete, the workspace becomes the active workspace on that computer and starts syncing automatically.

Note: A large workspace can take a while to download the first time. The progress bar in the Status popover shows how far along it is.

  4. Check the sync status
    • Click Status in the toolbar to open the Status popover, where you can monitor sync progress.

What Happens After Downloading

  • The computer now has a full local copy of the Cloud workspace — presentations, media, playlists, themes, macros, and the rest of your workspace content.
  • Screen and output configuration is set per computer and doesn't sync. After downloading the workspace on a new machine, set up its screens before your first service on it.
  • Because everything is stored locally, the workspace stays available even if your internet connection goes down, so you can keep running your service without interruption.
  • Changes made on this computer sync automatically to all other computers using the same workspace.
  • Any changes made while offline will sync once you're back online. For best results, avoid working offline for long periods.
See Best Practices for Cloud →
  • A Cloud workspace keeps a copy of everything that syncs, so if a computer fails, you can download the workspace to a new one and pick up where you left off.
It isn't a full backup of the computer — anything that doesn't sync, like Bibles, account sign-ins, and screen setup, will need setting up again.

Troubleshooting

  • Unable to Download — Not enough disk space
→ An alert will appear if there isn't enough local storage to download the workspace. Click Manage Storage in the alert to review your disk space.
  • Cloud workspace not showing in the workspace switcher
→ Ensure the computer is signed into the same organization account and is online. Also check the current seat state. Cloud workspaces don't appear for a computer on a Local Editor seat.
  • No Seats Available when switching seats
→ Syncing requires a Presenter or Cloud Editor seat. Open Settings > Account to check Current Seat State and switch if one is free. If you see No Seats Available, someone with admin account access will need to add seats.
  • Changes not syncing
→ Confirm that the computer is online and that other devices are signed into the same Cloud workspace. Open the Status popover from the toolbar to check whether all changes are current.
