Cloud lets your team work from anywhere. Your presentations, playlists, media, themes, macros, and the rest of your workspace content sync to every computer in your organization. This article covers:
- What to expect the first time you launch ProPresenter 22
- How to convert your workspace to a Cloud workspace
- How to open that Cloud workspace on another device in the same organization
Before You Begin
- Account and seat. Sign in to ProPresenter with your Renewed Vision account. The account needs a Presenter or Cloud Editor seat in the organization that will own the Cloud workspace. Local Editor seats can't sync Cloud workspaces.
- Storage. Your ProPresenter subscription includes 50 GB of Cloud storage. You can check usage at any time from Manage Cloud Storage (see Step 3).
- Network connection. Converting a workspace uploads all of its contents, and joining one downloads everything. A strong, stable connection matters, especially for large workspaces.
Step 1: Launch ProPresenter 22 and Upgrade Your Workspace
ProPresenter 22 uses a new workspace format. The first time you open it, you'll see an alert titled One-time setup for ProPresenter 22. The alert explains that your workspace needs to be upgraded for compatibility, and that the upgrade may take a few minutes for a large workspace.
The alert gives you three options:
- Upgrade Workspace converts your existing workspace to the new format so you can keep working with your current library, playlists, and media.
- Start with New Workspace opens ProPresenter with an empty workspace. Your existing workspace isn't changed, and you can import it later.
- Quit closes ProPresenter without making any changes.
To keep your content, choose Upgrade Workspace. A progress indicator appears while the upgrade runs. The upgrade happens only once, and how long it takes depends on the size of your library.
When it finishes, ProPresenter opens with your content in place. Thumbnails may take a moment to finish loading.
At this point your workspace is upgraded but still stored locally. It is not yet a Cloud workspace.
Step 2: Convert Your Existing Workspace to a Cloud Workspace
The Cloud window appears the first time you launch ProPresenter 22 to walk you through the process of converting your workspace.
- In the Cloud window, click Get Started. The window introduces Cloud's main features: Easy Collaboration, Access Anywhere, and Automatically Backed Up.
-
Note: If you click Set Up Later, you can still convert your workspace at any time from ProPresenter Settings. For those steps, see How to Create a Cloud Workspace.
-
- The Get Started with Cloud screen shows the workspace that will be converted and the amount of Cloud storage included with your plan. Click Convert Workspace.
-
Note: If your organization exceeds its storage limit for 30 consecutive days, it will be automatically upgraded to the next plan. You'll receive advance notice before any charges apply. To learn more, click Learn More about Cloud Pricing and Plans… on this screen.
-
-
The Manage Data Unable to Sync screen explains how ProPresenter handles data that can't sync to the Cloud. For example, smart playlists are converted to standard media playlists during conversion. Review the list and click Continue.
-
The Welcome to Cloud screen appears while ProPresenter prepares and uploads your workspace. While you wait, you can explore resources for adding Cloud storage or learning to collaborate with Cloud. When your workspace is ready, a Get Started button appears. Click it to begin using ProPresenter.
Step 3: Confirm Your Upload and Sync Status
In ProPresenter, click the Status in the toolbar at the top right of the window. The Status popover shows:
- The active workspace
- The current Sync Status and when it was last active
- A Pause Cloud Sync option
In ProPresenter Settings, go to the General page and select Manage Cloud Storage... underneath the workspace picker. This will open up the Cloud Storage page in your account portal. There you can see:
- Your storage used out of your total available storage
- Each Cloud workspace, with its last-modified date, synced devices, and size
If you belong to more than one organization, check that the correct one is selected. Click your initials in the upper-right corner and choose it under Switch organization.
Step 4: Open the Cloud Workspace on Another Device
- On the second computer, install ProPresenter 22 and launch it. Accept the terms. Sign in with an account that has a Presenter or Cloud Editor seat in the same organization.
-
When the Cloud window appears, click Get Started. On the Get Started with Cloud screen, choose Join an Existing Cloud Workspace.
-
On the Join a Workspace screen, select your Cloud workspace. The screen lists every Cloud workspace in your organization, along with its last-modified date.
-
The Welcome to Cloud screen appears while your workspace downloads. From here you can explore resources to upgrade your storage or learn how to collaborate. When the workspace is ready, ProPresenter opens it.
You can also join an existing Cloud workspace at any time from the workspace switcher that is found in the Status popover in the toolbar or from the General Settings page.
From here, any Cloud workspaces—along with any local workspaces—available to you will be listed. Cloud workspaces that are not downloaded yet show a Cloud icon with an arrow. Already downloaded Cloud workspaces just show the Cloud icon.
Either way, select the workspace you'd like to switch to and the workspace will load in the main view.
Download time depends on the size of your workspace and the speed of your connection. Larger workspaces can take significantly longer. We recommend joining on a fast, reliable network and not during a service. While content is still arriving, presentations may show "Presentation is being downloaded from Cloud. Content will appear momentarily."
When the download is complete, open the Status popover in the toolbar. The workspace appears with a cloud icon, and Sync Status showing as Active. Any change made on one device, such as editing a slide, now appears on the other.
If you have questions about getting started with Cloud, open Help > Report an Issue in ProPresenter and our Support team will be glad to help. Submitting from inside ProPresenter lets us see details about your setup, which helps us resolve things faster.
