Cloud keeps your presentations, media, playlists, themes, macros, and the rest of your workspace content in sync across every computer in your organization. Following the practices below will help your team get the most out of Cloud and avoid surprises during your services and events.
Stay Connected
Maintain a reliable network connection
Cloud workspaces sync changes over the internet, so a stable connection keeps every computer up to date. Spotty or slow connections can delay syncing and make it harder to tell whether all changes have come through.
Stay signed in on the computers you're syncing
Each computer needs to remain signed into your Renewed Vision account and organization to keep syncing. If a computer is signed out, it will stop sending and receiving changes until it is signed back in.
Keep your subscription active
Cloud syncing requires an active ProPresenter subscription. If your subscription lapses, your workspaces will stop syncing until the subscription is renewed.
Use a Presenter or Cloud Editor seat on each computer
Syncing requires a Presenter or Cloud Editor seat. A computer on a Local Editor seat can still edit locally, but it won't sync Cloud workspaces and they won't appear in its workspace list.
Short internet outages won't interrupt your service
All Cloud workspace content is stored locally on each computer, so if your internet drops during a service, ProPresenter keeps working normally. Changes will sync once your connection is restored.
Avoid long periods offline
Working in a Cloud workspace while offline for an extended time, then reconnecting, can create conflicts between your changes and changes made on other computers. This can lead to unexpected behavior. Whenever possible, stay connected while working in a Cloud workspace, and reconnect as soon as you can if you've been offline.
Understand What Cloud Protects
A Cloud workspace keeps a copy of everything that syncs, so if a computer fails you can download the workspace onto a new one and pick up where you left off.
It isn't a complete backup of the computer. Bibles, account sign-ins, screen and output setup, and media stored outside the workspace aren't part of it, and will need setting up again on a replacement machine.
Keep Your Workspaces Organized
Give your workspaces clear, descriptive names
If every workspace is named something like "ProPresenter," it's hard to tell which is which. Name each workspace after its purpose or location instead, for example:
- Main Sanctuary
- Children's Worship
- Spanish Service
- Youth Room
Clear names help everyone on your team choose the right workspace, especially when downloading a Cloud workspace to a new computer.
Split large libraries across workspaces
A Cloud workspace syncs as a whole. Every computer that downloads it gets all of it, and there's no way to sync only part of a workspace or skip individual files. If you have a large video archive that doesn't need to be on every computer, or a service that doesn't need sharing, make that its own local workspace and leave it off Cloud.
Clean up unused content regularly
Your own content in a Cloud workspace syncs and counts toward your organization's Cloud storage. ProContent media doesn't count toward it. To stay within your storage limits, review and organize your workspace often, and pay special attention to media you no longer need.
The Clean Up Unlinked Media tool makes this easy by finding media files that aren't used in any of your presentations, so you can remove them in one step. Learn more about Clean Up Unlinked Media →
Collaborate With Care
Make sure your team understands how syncing works
Changes made in a Cloud workspace sync to every computer using that workspace. Editing a presentation, deleting a library, or changing a setting on one computer affects everyone else. Before giving volunteers or new team members access, make sure they understand that their changes aren't limited to the computer in front of them.
Pause syncing during services and events
If you're worried about changes coming in from another computer in the middle of a service, you can Pause Cloud Sync from the Status popover. You can pause for one hour, until the end of the day, or for 24 hours. The pause survives quitting ProPresenter and lifts on its own when the time is up, and there's a Resume button if you want changes flowing again sooner. While syncing is paused, your content stays exactly as it is.
Avoid Other Cloud Storage Services
Don't combine ProPresenter Cloud with other Cloud sync tools
Storing ProPresenter files in folders that are also synced by services like iCloud Drive, Google Drive, OneDrive, or Dropbox can cause conflicts and unexpected behavior. Let ProPresenter Cloud handle syncing on its own, and make sure your ProPresenter folders are excluded from other Cloud services.
