How to Choose Which ProPresenter Cloud Plan is Right for You

Every ProPresenter subscription comes with Cloud storage included, and additional storage plans are available if your organization needs more room. This article walks through the available plans and the questions to ask when deciding which one fits your organization best.

Cloud Storage Plans

Storage Monthly Yearly
50GB Included with subscription Included with subscription
200GB $5/mo $49/yr
1TB $14/mo $149/yr
3TB $24/mo $249/yr

Choosing yearly billing saves you roughly two months' worth of cost compared to paying monthly.

NOTE → ProContent media doesn't count toward your storage.

Important: Cloud storage is shared across your entire organization. It is not a separate limit for each workspace. For example, if your organization has three Cloud workspaces that are 20GB each, you're using 60GB of Cloud storage in total. That puts you over the 50GB included with your subscription, so you'd need the 200GB plan.

Seats and storage are separate

Your plan covers storage. Separately, each computer that edits or syncs a Cloud workspace uses a seat.

Every subscription includes two Cloud Editor seats, and additional seats can be added from your account portal. If you're planning to put Cloud on several computers, check your available seats as well as your storage.

Things to Consider

How many workspaces do you want in Cloud?

Start by deciding which workspaces you want to make Cloud workspaces. Some organizations only need their main room in Cloud. Others want every computer running ProPresenter, across every room or campus, connected to Cloud.

Keep in mind that every Cloud workspace counts toward your storage, even if you only want Cloud as a backup and don't plan to sync it across multiple computers. To be backed up in Cloud, a workspace must be a Cloud workspace, and it takes up the same amount of storage as one that's actively syncing.

How big are your workspaces?

The size of a workspace depends mostly on how much media it contains. Videos, images, and audio files take up far more space than presentations, playlists, or settings.

If you keep media linked in place from elsewhere on your computer, expect your total to come out higher than this. Converting a workspace to Cloud brings that media into the workspace, so it starts counting toward your storage once converted.

To check the size of a Cloud workspace:

  1. Log in to your ProPresenter account at accounts.renewedvision.com
  2. Look for the Cloud block on your dashboard and select Manage Cloud workspaces

  3. Here you can see the size of all workspaces synced to your Cloud storage

Add up the sizes of every workspace you plan to put in Cloud to get your organization's total.

Alternatively, you can access this page by going to ProPresenter > Settings > General and select Manage Cloud Storage...

Before you convert a local workspace to a Cloud workspace, you'll see a prompt alerting you with the size of the workspace you're attempting to convert. This pop up can help you get a better idea of how much storage the workspace will take up prior to converting.

Will your workspaces grow over time?

Think about where your storage needs are headed, not just where they are today. If your workspaces total 45GB right now, you fit within the included 50GB, but only barely. A few new sermon series, worship backgrounds, or event videos could push you over.

If you expect your media library to keep growing, it may make sense to start with the next plan up, so you're not constantly watching your storage or cleaning up to stay under the limit.

What Happens If You Go Over Your Storage Limit

If your organization goes over the storage included with your subscription or your current plan, you'll enter a 30-day grace period. If your organization is still over the limit after 30 consecutive days, it will be automatically upgraded to the next storage tier.

To avoid an automatic upgrade, you can clean up unused content to get back under your limit, or upgrade to a larger plan on your own at any time.
